A visionary development team is seeking a highly organized and detail-oriented Hybrid Project Coordinator to help drive transformative redevelopment efforts. Centered around a premier event venue and its surrounding properties, this role is key to advancing a bold vision for a thriving, mixed-use destination.
The Project Coordinator will play an integral part in keeping initiatives on track—ensuring timelines, budgets, and quality standards are met—while supporting the creation of a vibrant, connected community that blends entertainment, residential, retail, and public space.

What Your Day Brings:
Project Support
- Define project scope, goals, and deliverables in collaboration with senior leadership and stakeholders.
- Develop detailed project plans including timelines, milestones, budgets, and resource allocation.
- Assist in planning, scheduling, and coordinating complex projects across departments and external partners.
- Track progress on multiple concurrent initiatives (e.g., Master Plan, Finance, Advocacy, Development Agreements) to ensure alignment with strategic goals.
- Support the preparation and timely distribution of board meeting materials and advocacy communications such as newsletters and one-pagers.
- Draft, review, and edit project documents, contracts, and agreements in compliance with district policy.
Execution and Monitoring
- Coordinate cross-functional teams, consultants, and vendors to ensure deliverables are completed on time and within scope.
- Monitor project timelines and milestones, proactively adjusting plans and schedules as needed.
- Manage changes to scope, cost, or schedule using proper documentation and approval procedures.
- Follow up with consultants and external partners on task progress and outstanding items.
- Track project performance and provide regular status updates, reports, and documentation support.
Communication and Stakeholder Management
- Act as the central liaison between consultants, departments, third-party vendors, and public entities.
- Organize and schedule internal and external meetings; prepare agendas and document meeting outcomes.
- Communicate project updates, risks, and changes across stakeholders, ensuring expectations are managed and alignment is maintained.
- Present information and project updates to community organizations and advocacy groups.
- Serve as a key point of contact for RFP/RFQ processes, ensuring transparency and adherence to procedure.
Resource Management
- Coordinate scheduling of internal staff and external consultants; monitor resource availability and project demands.
- Identify resource gaps and support leadership in implementing practical solutions.
- Oversee administrative components of consultant and vendor engagement, including contract tracking, scorecard preparation, and interview coordination.
- Maintain centralized calendars and deliverables tracking across multiple project timelines to ensure efficient resource utilization.
Perform additional related duties as assigned.
What You Bring:
- Bachelor's degree in Business, Project Management, or equivalent professional experience.
- 1–3 years of experience as a project coordinator or in a related field.
- Valid Washington State driver’s license.
- Successful completion of a criminal background check.
- Proficiency in Microsoft Teams and Microsoft Office Suite.
- Exceptional written and verbal communication skills.
- Strong attention to detail and ability to manage multiple tasks with high accuracy.
- Self-motivated with excellent time management skills in a hybrid/remote environment.
- Demonstrated organizational, problem-solving, and multi-tasking abilities.
- Ability to thrive in a small, independent office setting.
