Schedule: Mon-Fri, 8am-5pm
A professional services organization dedicated to empowering businesses and individuals is currently seeking an Office Services Coordinator to join the team. This role supports all facilities-related activities and ensures exceptional administrative and client service within a dynamic, team-based environment.
The Office Services Coordinator plays a vital role in maintaining a productive and welcoming workplace by managing various operational functions, serving as the primary point of contact for office services, and ensuring facility needs are met consistently.

What Your Day Brings:
- Maintain overall facility readiness, including setup and breakdown of rooms for meetings and events.
- Serve as a point of contact for internal and external office service inquiries, resolving or routing requests as appropriate.
- Process incoming and outgoing mail and packages using FedEx, UPS, USPS, and local couriers to meet time-sensitive deadlines.
- Coordinate workspace and conference room reservations using hoteling software.
- Manage large-scale document services including copying, scanning, collating, and distributing client and internal deliverables.
- Oversee security access assignments, badge distribution, and updates to the security database in alignment with employee status.
- Coordinate internal meetings and events, including catering arrangements and logistical setup.
- Provide basic troubleshooting and maintenance for office equipment such as printers, copiers, A/V systems, and kitchen appliances.
- Act as liaison with property management and external vendors; maintain records and track vendor contracts specific to the location.
- Assist with compliance procedures related to fire, health, and safety standards, and maintain associated documentation.
- Complete other administrative duties and special projects as assigned.
What You Bring:
- High School Diploma or GED.
- Minimum of one year of related experience; prior experience in office support or within a professional services environment is preferred.
- Demonstrated commitment to excellent client service.
- Strong communication skills with the ability to interact across all organizational levels.
- Proven ability to build and maintain trusted working relationships.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint).
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
