Location: On-site in Renton, WA
Employment Type: Contract
Schedule: Mon-Fri, 8:30am-5:00pm

A non-profit organization providing free and confidential support to survivors of sexual assault is seeking a Business Operations Specialist to join its mission-driven team. This role offers a meaningful opportunity to be a compassionate first point of contact for individuals and families navigating trauma.

The Specialist will manage front desk operations, provide administrative and operational support, and play a key role in connecting callers and visitors to the right resources with empathy and professionalism. The ideal candidate brings a calm presence, strong organizational skills, and a heart for service, helping to create a welcoming, supportive environment for all who walk through the door or call-in seeking help.

What Your Day Brings:
Business Operations Support

  • Provide administrative and logistical support to the Business Operations Manager.
  • Maintain office supply and furniture inventory; coordinate with external vendors.
  • Document and maintain operational procedures and assist with their improvement.
  • Offer technical and troubleshooting support to clients and staff.
  • Analyze business operations and customer feedback to identify areas for service improvement.
  • Ensure compliance with safety standards and relevant regulations.
  • Handle purchasing and logistics duties, including processing purchase orders.
  • Support planning and execution of training sessions and conferences.
  • Assist with the preparation and proofreading of agency materials, including reports and correspondence.
  • Prepare and deliver quarterly business operations reports.
  • Conduct research related to operations and propose process improvements.

Front Office & Client Support

  • Manage the daily functions of the reception area, including welcoming visitors and directing calls.
  • Respond to trauma-related calls with care, directing individuals to appropriate internal or external resources.
  • Support collaboration with client service teams, including therapists, medical providers, advocates, and CPS personnel.
  • Manage incoming and outgoing mail, including handling checks and coordinating express deliveries.
  • Ensure efficient flow of communications and materials across departments.

Complete other related duties as assigned.

What You Bring:

  • Minimum 3-4 years direct experience.
  • Strong written and verbal communication skills. Bilingual in Spanish and English strongly preferred.
  • High emotional intelligence (EQ); empathetic and able to respond compassionately to individuals in distress.
  • Coachable, open to feedback, and proactive in learning and adapting to new challenges.
  • Comfortable taking trauma-related calls and supporting individuals in crisis with calm and care.
  • Skilled at multitasking and maintaining focus in fast-paced, high-pressure environments.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access, SharePoint).
  • Demonstrated ability to learn and adapt to new technologies and systems.
  • Experience with multi-line phone systems.
  • Strong organizational and time management skills; able to prioritize tasks effectively.
  • Ability to maintain confidentiality and manage sensitive situations with professionalism and discretion.
  • Effective collaborator with a diverse and multidisciplinary team.
  • Culturally sensitive, inclusive, and committed to ongoing learning around equity and trauma-informed care.
  • Capable of independent decision-making within scope of responsibility, especially in the absence of a supervisor.
